Lightspeed App

The Lightspeed app allows you to link Booking Experts to your Lightspeed POS system. Lightspeed is a versatile POS system designed specifically for the hospitality industry. It is more than just a cash register; it is a comprehensive platform that can manage different aspects of your business. In Booking Experts, this app gives you the ability to checkout products via the order in the reservation.

Creating charge items

Before you can start installing the Lightspeed app, a cost needs to be created within Booking Experts. The cost item will act as the basis for the invoice line added to the reservation by Lightspeed and should have the following settings:

  • Name: Receipt payment;
  • Type: Other;
  • Selectability: Back office;
  • Applicability: All types and channels;
  • Price calculation: Per stay;
  • Default prices: €0.00;
  • Ledger account: a balance sheet account to be selected/established by yourself with 0% VAT;
  • Validity: Always.

Installing the app

To install the app, you need to have access to the App Store, in which case a market stall will appear at the top of your Booking Experts menu bar. If you don't already have this, ask your organisation manager to give you App Store permissions.

Click on the App Store icon and then choose the Lightspeed app.

Next, click +Install at the app. Here you see an overview of what the application can see in your administration(s).

Choose the administration(s) for which this application should be installed and click Install.

The app is authorised. Click OK to continue.

Authorise Lightspeed

Under Commands, choose Authorise Lightspeed and log in with Lightspeed's e-mail and password.

The app is now also authorised at Lightspeed. Click OK to continue.

Set company locations

Under Commands, click Company Locations. To add a new company location, click +Add. Select the desired Lightspeed business location for which payments should be accepted and choose the desired Administration where payments should be linked to reservations. Select the Basic expense (created before setting up the application) to be used.

Note! If you want to link several business locations you need to repeat the steps.

Check company location and set payment method

In order to accept payments from Lightspeed, a payment method must be created which is set to be charged to room. This needs to be set up at the business location(s) by going through the steps. This setup takes place in Lightspeed. Log in to the Lightspeed environment.

Pay on account

After correct configuration, it is possible to pay the receipt on account. Create the receipt as taken by the guest and choose Pay on account.

Choose payment method Booking Experts and click Amount to checkout.

Search for the relevant guest by searching by Room, name or reservation number. Select the desired reservation on which you want to debit the receipt.

The cost of the receipt is booked on the guest's invoice, check and send.

The code in brackets corresponds to the receipt in Lightspeed for possible verification.
