Organization overview

Especially for groups there is the Organization Overview. This allows you, as an organization manager, to see the availability across all underlying parks in one overview. The dashboard currently consists of two tabs, namely the overview and the reservations. This will be extended later.

Navigate to the functionality

You navigate to the Organization Overview as follows:
1. In the green menu bar, click on the administration name;
2. Click on the organization name in the dropdown menu.


Reservations

If you click on the Reservations tab you will see there all the reservations of the group, regardless of which administration the reservations were made for. 

We have added several filters so that you can create the desired overview for your situation, for example all arrivals for next Friday. 
The reservations are, just like on the administration level, sorted by stages of the reservation:
  • Confirmed;
  • Imported;
  • Cancelled;
  • Not yet confirmed;
  • Option.

Filtering on administration level

You cannot filter by administration. Do you want to see the reservations of a specific administration? Then you can click on the organization name in the menu bar at the top and select the desired administration in the dropdown. From here you can also make exports. 


Make a reservation

You can make a reservation using the yellow '+ Reservation' button or the blue '+ New reservation' button in the Reservations tab.
Both buttons will forward you to the next screen. Here you can use the filters.

For example, you can select multiple types, characteristics and parks.

The right-hand menu displays the calculation of the selected option. Here you will see the following points reflected in the calculation:
The accommodation & type, the arrival and departure day, the vacation park, the channel, the guest group and the price specification.

You can see the price specification by clicking on the 3 dots.


Here are the steps you need to follow to make a reservation:

1. In the white field at the top of the page choose the organization in question.
2. Go to the Reservations tab;
3. Choose the yellow or blue reservation button;


4. Choose the filtering you would like to see; 


5. When you have found the right result, choose ' View';


6. Check if this option is to the guest's liking and if you want to reserve it, click ' Reserve';

7. You will now enter the screen where you can enter all the details of the customer. Go through the steps and you have placed the reservation.
Note: Are you not an organization manager, but an administration employee or manager? Regardless of where you make your reservation in Booking Experts, whether it's through the yellow *+Reservation* button or through the scheduling board, you'll end up in the new reservation screen, as you can see above.

Vouchers at organization level

On this page you can also easily find the vouchers at the organization level in 1 overview!  So you don't have to search for the voucher per administration. 
You do this as follows:
1. Go to the group dashboard;
2. Click in the right menu on ' Vouchers'. Here you can see all vouchers from the entire organization. Useful if a guest calls the call center and you want to quickly view the voucher. 

You can filter in this view to search for a voucher across only two administrations, for example.


Guests

In the organization overview you will also find all the guests. Here we have useful filters.
Do you want to see which guests have stayed 3x or more within your organization? Then use this filter:
Do you want to see which guests have visited more than 2 resorts? Then use this filter:

Financial

You will find financial information in the organization overview. This allows your administration to work from one overview to check outstanding payments, for example. 

Reception Messages

In the organization overview you will find all the reception messages. Some vacation parks find it easy if the reception takes care of these messages, but we also offer the possibility to do that at the organization level. You can manage all messages from here. This is also automatically processed in the inbox with reception messages at administration level. This prevents duplication of work. 
Tip: archive messages when you have processed them!💡 Then other colleagues will know that they no longer need to do anything with them. 

Actions

Finally, you'll also find logging at the organization level. So you can see who did what. You can also filter on the type of task and by whom it was performed.
