Vipio: Installation & settings
Vipio is a distribution channel with European reach that covers a broad spectrum of accommodations, including campsites, holiday parks, hotels, B&Bs and holiday homes. Take a look at the range on Vipio and discover whether your accommodations fit in there.

How to install the app?
Once logged into your Booking Experts PMS, go to the App Store in the light green menu bar. To do this, click on the market stall icon. Type 'Vipio' in the search bar and click on the appropriate result. You are now on the app's detail page. Click the green ‘+Install’ button to install the app.
In the next screen, you can see exactly what information is read and sent by Vipio. At the bottom of this page, you will link your administrations. Check the ‘Access’ box for each administration for which you want to apply Vipio. Then click 'Install' to authorise the app and complete the installation.
You can now set up your collaboration with Vipio directly.
When you install the app, a channel named 'Vipio' is automatically created in your PMS. The default payment policy is applied. If you want to use a different payment policy, you can adjust this in the Vipio channel settings. Go to the overview of channels in the settings menu (gear icon) and click the 'Vipio' channel. Then click 'Edit', here you can choose a different payment policy in the 'Payment policies' block.
Important settings
With Vipio, it is important that you ensure that your costs are set up correctly. Vipio sources your availability, prices, and content from BEX PMS. It also sources your costs, but these are not always applied in the same manner as they are in BEX. Special care needs to be taken with costs that are set up in BEX PMS as mandatory costs with conditions, which are therefore not applied to all reservations.
Mandatory costs with conditions
If you want to charge guests for bringing a pet, you might have set up a mandatory cost for pets that is triggered when a pet is listed in the guest group of the reservation. Due to the fact that Vipio disregards these triggers when the cost is ‘mandatory’, this pet charge will end up on all reservations booked through Vipio, regardless of whether the guests actually intend to bring a pet.
Also take a look at your costs for things like towels, or bedlinen. Are they set up with conditions that may cause them to be incorrectly applied through Vipio?
Solution
Set up a separate cost for this purpose for Vipio. In the cost settings, mark it as ‘selection by guest’ instead of ‘mandatory’. Also make sure that this cost is only applied to the channel Vipio. The other cost settings should be the same as for the original.
Don’t forget to exclude the channel Vipio in your original cost item!
Because Vipio handles costs a little differently, this doesn’t mean that Vipio guests can now choose to pay for a pet themselves. Vipio still applies the pet charge to any reservation that lists a pet. The same applies to other costs with conditions.
Processing commission in channel invoice
You have concluded a contract with Vipio, stating that you pay a certain percentage of commission for reservations booked through Vipio. This commission is calculated over the rent and mandatory cost items.
Tourist tax is a mandatory cost item. However, Vipio does not charge commission on tourist tax. If this is not rectified, you will pay too much commission to Vipio.
Solution
You pay the commission to Vipio via a channel invoice. This channel invoice contains a cost item, 'Vipio commission', which has the price calculation 'Percentage of rent and mandatory costs'. The percentage depends on your contract with Vipio.
In this cost item, tourist tax is still included.
You must manually correct the excess tourist tax on each Vipio channel invoice. Make sure that, in the cost item settings, the checkbox for 'Editable price' is checked. This allows you to manually adjust the calculated amount.
