Koole Controls

Integrating Booking Experts and Koole Controls allows you to automate your check-in process. This means that a door code is automatically sent to the guest, eliminating the need for a physical key.


Koole Controls is also involved in climate control within the accommodation. Through a connection with water pumps, air conditioning, or central heating, the temperature in the property is regulated to enhance guest comfort and reduce costs for the organization. This includes features like automatic warm welcomes, night temperatures, and vacancy temperatures.


Installation

To use the Koole Controls app, you need to install it from the App Store. After installing the app, you will need to authorize Koole Controls. To do this, you need the following information:

The Client ID for Booking Experts users is BookingExperts

Client Secret:

Unique Code

Before you can authorize Koole Controls, you must ensure that your Koole Controls environment is set up. Please coordinate this with your contact person.


Linking administrations and accommodations

After authorisation, you can add and link your administrations and accommodations with Koole Controls. Click on the "Linked administrations" command for this.

When linking your administrations, you have the option to check a box to send the PIN codes automatically. It is advisable to enable this option to ensure optimal automation.

Once the administration is linked, all accommodations created in Koole Controls will be automatically displayed. If you find that an accommodation is missing, you will need to create it in your Koole Controls back office.


Template

During the app installation, an application message template is created. You can locate this template here. In this template, you can customize the text that will be sent to the guest. You can also include any arrival information you want to convey.


The information in the template is automatically sent (if configured in the app) to the guest 6 hours before check-in time.

It is possible to send this template via SMS as well, if that option is available. You can check this option within the template settings.

When the reservation is moved to a different accommodation within 6 hours before check-in time, a new code will be sent to the guest.
