Salto KS: Installation & settings

Salto KS (KaaS: Keys as a Service) is a scalable cloud-based Access Control solution that’s built to meet current and future business needs. All you need is a Salto wireless smart door lock, an IQ, and a device with an Internet connection. Enjoy the ease of giving your guests remote access through a secure online environment, or a key tag that is preset for the object and duration of their reservation. This is all managed from a fully remote, cloud-based smart access management platform with advanced security measures.

How to install the app?

Once logged into your Booking Experts PMS, go to the App Store in the light green menu bar. To do this, click on the market stall icon. Type ‘Salto KS’ in the search bar and click on the appropriate result. You are now on the app's detail page. Click the green ‘+Install’ button to install the app.

In the next screen, you can see exactly what information is read and sent by Salto KS. At the bottom of this page, you will link your Administrations. Check the ‘Access’ box for each Administration for which you want to apply Salto KS. Then click ‘Install’ to complete the installation.

You can now return to the Salto KS app page to complete the settings.

Set up a Salto KS subscription

An active Salto KS subscription is needed for the Booking Experts integration app to work properly. Contact Salto to set up your account! The integration also requires an admin user to login to SaltoKS through a separate mobile admin app, available in the Google play store and Apple app store. Note that this is a separate app that does not integrate with Booking Experts, for admin users only!

During the setup of your account with Salto, you will need to register each of your Salto-enabled locks. This is done in the aforementioned admin app, which is also accessible through your browser

Complete the settings

Firstly, Salto KS needs to be explicitly authorised to access your app. In the app page, there are several commands you can use to manage the app. Select ‘Authorise SaltoKS’, and you will be redirected to the Salto KS login page. After you log in and provide consent, the app authorisation will be successful. 

Mapping out administrations

Next, your administrations need to be correctly linked with the Salto KS site. Under Commands, select ‘List administration mappings’, and add a new administration mapping by clicking the blue button.

Select the correct administration and the corresponding Salto KS site. Once you select the Salto KS site, a few more options will be shown:

  • Default guest role: Select the default role that will be assigned to users created in Salto KS.
  • Access control method: this consists of two checkbox options and a time buffer setting. 
  • Checkbox Enable Key tag access control: checking this box will enable the access method that uses physical key tags.
  • Checkbox Enable Remote online access control: checking this box will enable the access method that uses a secure online environment to remotely open doors.
  • Message send time before reservation (in hours): this defines when your guests will receive the email with the remote access link for the second access method. Enter how many hours before your guests’ check-in time the remote access link should be sent.

For the app to work, you have to enable at least one of the two access control methods. It is possible to enable and use both simultaneously.

How do the access control methods work

Access groups

A so-called ‘access group’ is automatically created for every confirmed reservation. An access group determines when which doors are accessible to which persons. Access is provided for the duration of the reservation (from check-in to check-out time, with an additional 30 minutes leeway), is valid for the lock linked to the object in the reservation, and is linked to the main booker of the reservation.

Key tag access control

With this method, a physical key tag will automatically be linked to the access group. The access group detail page (more about that below) will show the tag number of the assigned key tag. Key tags are assigned randomly, provided it is not already linked to another overlapping reservation. There is one key tag per reservation. When the guests check in, the reception employee can check the tag number, and give the correct tag to the guest.

Remote online access control

With this method, the main booker will receive two emails that provide access to a secure online environment that contains a digital switch to lock and unlock the door. One email contains a link to the online environment, the other contains an access code to verify the guest. This code will only have to be entered once. The time entered in the settings determines when the guest will receive the emails.

The parameters of the door access are the same as for the access group: only valid for the duration of the reservation, and only for the associated lock. It is possible for the main booker to share this access with other guests, but its validity will not alter.

Setting up the Salto KS IQ connection 

This step is required when the Remote Access Control method is selected. For this, you need to have the Salto KS admin app installed, and the IQs activated. You can follow this guide if the IQs are not activated yet. Connecting the IQs only needs to be done once, during setup.

After adding the administration mapping, you will see the administration overview page with a section titled: 'Available IQs for [administration name]'. If you do not see anything listed under this section, click the ‘Refresh IQs’ button. 

You will see a list of IQs for your Salto KS site. These need to be set up with information from your mobile app for proper functioning of remote access for guests. For each IQ follow these steps:

  1. Click the 'Setup' button.
  2. Put in the generated OTP from the mobile app and your user PIN
  3. Click the 'Save' button.

Once the setup is complete, the button next to the IQ will change to 'Update stored PIN'. If you manually change the PIN for any IQ through the admin app, use this button to update the PIN. 

Mapping Salto KS locks to accommodations

Next, you need to make sure the Salto KS locks are connected to the right object in your BEX PMS. 

From within the administration mapping page, click the blue button ‘Map Salto KS locks’. Here, you will see a list of all your objects with a drop down next to them. In the drop down, you will find all locks that you have registered in the Salto KS admin process. For each object, select the correct Salto KS lock from the drop down menu. Click 'Save' when you are done.

Your Salto KS integration is now ready for use!

Other commands

From the main Salto KS app page, you’ve now already used the commands ‘Authorise Salto KS’ and ‘List administration mappings’. But there are two more.

Lock Events

Click the ‘Salto KS Lock Events’ button to see a list of all lock events across all access groups for your organisation. To find certain lock events, you can search using the booking number, object name, administration name, or Salto KS lock name as search terms.

Access groups list

Click the 'Access Groups' button to see a list of all access groups created for reservations. If you open this screen for the first time, you might not see any access groups listed yet. Simply click 'Sync with BEX' in the top right, and the page will be updated with all access groups for confirmed reservations in the next 5 days. After that, this page will automatically be synced, creating access groups upon confirmation of a reservation, and updating the details if any are changed. The access group will be deleted after check-out, or if the reservation is cancelled.

Select one of the listed access groups to see its details. This page shows some identifying information about the reservation, and lists the events showing when the connected Salto KS lock was locked/unlocked, or rejected. Rejected means that an attempt was made, but it was unsuccessful.

The Salto KS access group list can also be accessed directly from the PMS, via the ‘Apps’ dropdown in the top bar. An access group detail page can also be accessed from the connected reservation, see the pictures below.

Re-send remote access email from reservation 

As shown in the picture above, you can also send a remote access email to a specific guest from their reservation page. Use this option to re-send the emails with the link and the access code for the lock controls page.
