Creating a price list

You start by creating a price list. Then you enter the prices. 
Here we explain how to create the price list.
1. Go to the Setup tab;
2. In the right submenu, choose Price lists;
3. Click on the + New Price List button;
4. Give the price list a name and save it. 

Price list types

Each type has one or two price lists of its own (simple or complex). When it comes to your own website, you will work with the complex prices by default.

It is possible to use a simple price list for tour operators in addition to your own (complex) price list. This simple price list only works based on night prices.

You can set which type of price list applies per channel.

1. Click on the  Gear icon at the top right;
2. Select  Channels in the right submenu;
3. Click  Edit for the channel which you want to adjust the price list;
4. Save the change by clicking  Save channel.

Annual and weekly overview

We will display the annual overview by default. In it, you will see the standard price periods recurring throughout the entire year. You will have the option to deviate from the annual periods. You can implement this in the concerned  weekly overview.

The following screen print will show you per number what the meaning is.

1. Navigation to view another date selection;
2. The price generator that allows you to easily enter price lists for a longer period of time;
3. The week including week number. By clicking on it, you will proceed to the prices of this specific period;
4. By checking or unchecking the boxes, you can enable or disable prices;
5. Entering and/or changing prices;
6. Adding price columns to the price list;
7. Index or copy price list.
With the complex price list it is possible to export your price list and import prices using the export and import button.  Please note: the price columns are not included during the import. The imported prices are shown in the weekly overview.

Yellow color

By clicking the concerned week in the left column, you will be taken to the weekly overview in which you can make specific adjustments to the price. When you click on a week you can overwrite the prices compared to the annual overview. The week in which you have made an adjustment will turn yellow in the annual overview. When you hover your mouse over this week, you'll see the adjusted prices at a glance.

Note: How can you see if there are divergent prices in the week overview that overwrite the prices in the year overview? In year overview you create the standard prices. If you deviate from these on a weekly level, then the price is not automatically changed in the year overview. 

The price in the year overview becomes yellow in the week overview + the dates (the week number) in the year overview become yellow.

Columns

You decide which price columns are in the overview. Tip: use only the most common columns to keep an overview.

Add column
1. Click the pencil icon in the price overview; 
2. Next, click   + New;
3. Compose the desired new price period; 
4. Click   Add price period;
5. If desired, you can drag the price periods by keeping the bars pressed and swiping to change their order in the price overview.

Change column 
You can change the column of the price periods by clicking on the lines for the desired period and keeping this pressed. While you press this you swipe to adjust the order in the price overview. 

Delete price column 
You can delete a price period by clicking on  Delete after the relevant price period. 

Meaning flag symbol

We use the flag to indicate whether this week contains a public holiday. Hover the cursor over the flag to see which holidays take place during this week.


Entering and changing prices

You can enter and/or change price in the price overview in several ways:

  • By entering a price at one of the available fields;
  • By using the price generator on the right side.

After implementing a change, click   Save price list at the bottom left side. After doing this, the price list is saved and published.

Important note! If you enter a price of €0.- then that means that the period concerned can be booked for free. Do you want a period to not be booked? Then you should leave the input box empty or un-check the check mark for the corresponding price.


Length Of Stay - Fixed price for specific time of stay

In the week display it is possible to enter a fixed price for a specific time of stay, for example a special price for 3, 7, or 14 nights. Please note: you will enter the price for the total number of nights here (so not the price per night).

It is possible to activate and deactivate weekly prices. This is useful because you can be flexible in the prices that you offer. You can also fill the 'gaps' in the planboard with the possibility of increasing the occupation.


Connect types to price list

You link a price list to the desired types. Optionally, you do this with a ratio of a factor and/or fixed amount. This indexing means automatically increasing a price list to that specific linked type. The amounts can also be automatically rounded to a desired amount with a self-chosen rounding direction. 
1. Go to the Setup tab;
2. In the right submenu, choose Price lists;
3. Click on the desired price list;
4. Click on the link Connect type button;
5. Next to the desired type, click Link type;
6. Set up the indexation;
Tip: the indexation can be by a factor and/or fixed amount. You can view the example prices by clicking the button.  With factor 1 and € 0 the base price will be adopted. 
7. Click on Update Type. 

Please note: If you link several types to a price list, then the same arrival and check out days apply.

Determining days of arrival and check out

Per type you determine the arrival and check out days. With this you determine on which days one may check in and out.  Example: You set January 1 as no arrival day. This means that you can never book a room with an arrival date of 1 January.

Indexation

It is possible to index the price lists. This means automatically increasing a price list by a percentage of your choosing when copying a price list to a following year or to another accommodation type, while keeping the public holidays. The amounts can also be rounded automatically to any desired amount in a rounding direction chosen by you.

Copy prices to next year

You can copy a price list to the next year while maintaining the holidays and with an indexation of a self-selected percentage.
1. Go to the tab Setup;
2. In the right submenu, choose Price lists;
3. Click on the desired price list ;
4. Go to the Complex or Simple pricing tab;
5. Click on Actions;
6. Then click on Copy Year in the upper right corner;
7. Select the year you want to copy to;
8. If desired, implement an indexation by clicking  Apply indexation;
9. Finally, click:  I understand, copy the prices.
Note: after making a copy, we recommend checking the prices and periods, especially around public holidays.

Copy prices from another type

In addition to copying a price list to a following year, you can also copy a price list to another type.

1. Go to the tab  Setup;
2. In the right submenu, choose  Price lists;
3. Click on the desired price list ;
4. Go to the  Complex or Simple pricing tab;
5. Click on  Actions;
6. Then click on  Copy from other price list in the upper right corner;

7. Select the type you want to copy from
8. If desired, implement an indexation by clicking  Apply indexation;
9. Finally, click:  I understand, copy the prices.

Please note: after making a copy, we recommend checking the prices and periods, especially around public holidays.


Indexing prices per period

It is possible to index prices for a certain period:

1. Go to the tab  Setup;
2. In the right submenu, choose  Price lists;
3. Click on the desired price list ;
4. Go to the  Complex or Simple pricing tab;
5. Click on  Actions;
6. Then click on  Apply indexation for period in the upper right corner;

7. Enter the period to be indexed;
8. Choose the method of indexing and any rounding method;
9. Click on the Apply button.

Price list and the pricing

A price list always calculates the price as low as possible for the visitor.

For example: a weekend + midweek price together is cheaper than week. How is that possible? 

In most cases you also have a weekend + midweek price that is cheaper together than the weekly price. The system then chooses the composite price above the weekly price, because the guest always gets the cheapest rent. For example the following pricing:

Week from Monday to Monday: € 495,-
Week from Friday to Friday: € 495,-
Midweek from Monday to Friday € 295,-
Weekend from Friday to Monday: € 195,-

In this case, it is cheaper for the visitor to reserve a midweek and a weekend (€295,- + €195,- = €490,-) rather than a week from Monday to Monday.

On the website the week price from Monday to Monday will be displayed as € 490,- instead of the € 495,-, since a midweek and a weekend are from Monday to Monday as well.


Ready prices and publishing later

As a user of Booking Experts, in some situations you may want to prepare price lists for a future calendar year or rental season without these being directly published on the online channels. This is because guests are only allowed to book from a specific publication date for a new season.

You can set up prices in Booking Experts by doing the following:

1. Go to the Setup tab;
2. In the right submenu, choose Price lists;
3. Click on the desired price list;
4.  Go to the Arrival and Check out tab;
5. Uncheck the checkboxes (or use the arrival and check out generator to do this in bulk) and click Apply;

6. Then put all the prices in the price lists as you are used to;
7. Finally, open up the arrival and check out days again. You do this in the same way as in steps 1 to 3. 


Price lists in use - not in use

You can see in the price list overview whether it is linked to a type or not.

1. Go to the Setup tab;
2. In the right submenu, choose Price lists.


15. History

It is possible to see the changes that have been made to a price list. To do this, go to the price list in question and click on the History tab.

Here you can export the relevant prices and/or price rules from the price history. The side menu also displays an overview of all changes that have been made.

Please note! A 'snapshot' of the price list is taken after 60 minutes, this is to avoid that every small change is registered separately.
