You can set up a connection between Booking Experts and Twinfield with which you can synchronize your bookkeeping daily with your financial administration through memorial booking.

The steps to set up a integration

To exchange debtors (guests, owners, channels) you need to edit the standard format of the debtors code. Follow the steps below:

1. Go to the  Settings tab;
2. Select  Administration settings;
3. Select  Dimension types;

Fill in * as format and do not forget to save.

Set up the connection

Follow the following steps in Booking Experts:

1. Navigate in the headermenu to the Financial tab;
2. Select  Accounting integrationsin the right submenu; 
3. Click  New accounting integration;

Select  Twinfield and click Create accounting integration;

Now you are at the detail page of the integration. Click  Edit to enter login information of Twinfield;

Enter all data;

We are almost finished! Follow the steps below:

1. Activate the link by dragging the slide to the right;
2. Click "Synchronize". The system will synchronize your administration in the background This may take a couple of minutes;
3. Refresh the page every now and then (CTRL + R in windows, CMD + R in macOS).

If everything went correcty, you will now see an overview of the exchanged information.

Failed synchronization(s)

It can happen that some information cannot be synchronized. They will then be listed as  Failed. Click the number to see what the problem is. The error message is in Dutch and should explain to you, as Twinfield-user, why the synchronization failed. Should you not resolve the matter, you can always contact our helpdesk.

A synchronization can fail. Look at the error messages by clicking on the number of the failed synchronizations.

  1. Dimension reservation (XXXX) on level 1 can not be sub analyzed
  2. The format of the dimension code XXXX of dimension Pre-invoiced revenue (XXXX) at level 1 should meet the format XXXX.
  3. General ledger account XXXX with number XXXX requires the specification of a relation or cost center.
  4. Currency date: The currency date is required.
  5. The format of dimension type DEB of dimension (XXXXXX) XXXXXX (XXXXXX) at level 2 must conform to the format CRD.
  6. error - dim1: It is not permitted to use a combination of accounts on detail lines or VAT lines if the same combination is also used by a bank or cash book. The combination of accounts based on this line is used by the bank or cash book Cash (CASH).

You can solve this to navigate to the general ledger account in Twinfield:

  1. Financial professionals
  2. Dimensions
  3. Balance / Profit & loss
  4. Search the general ledger account number by entering the code (for example 1300)
  5. Open general ledger account
  6. Navigate to the tab "Links"
  7. Change "further analysis" to "Yes"

The format of the dimension code XXXX of dimension Pre-invoiced revenue (XXXX) at level 1 should meet the format XXXX.

You can solve this by navigating in Twinfield to:

  1. Settings
  2. Administration settings
  3. General settings
  4. Turn on the check mark for Allow multiple main accounts for debtors/creditors

General ledger account XXXX with number XXXX requires the specification of a relation or cost center.

  1. Financial professionals
  2. Dimensions
  3. Balance / Profit & loss
  4. Find the general ledger account number by searching the code (e.g. 1700)
  5. Open the general ledger account
  6. Navigate to the tab "Links"
  7. Change "further analysis" to "occasionally"
Further analysis

Currency date: The currency date is required.

  1. Go to Cash & Banks
  2. Find the cash or bank book that is causing the problem
  3. Change the field Line date to "allowed"
  4. Save
  5. Try to synchronize again.

The format of dimension type DEB of dimension (XXXXXX) XXXXXX (XXXXXX) at level 2 must conform to the format CRD.

You are probably booking a debtor to a ledger account that has been marked as a creditor account.

  1. Financial professionals
  2. Dimensions
  3. Balance
  4. Search for the debtor / creditor account (e.g.1600)
  5. Open the ledger account
  6. Navigate to tab "Links"
  7. Remove the line "Account is linked to [Type] [CRD]"

error - dim1: It is not permitted to use a combination of accounts on detail lines or VAT lines if the same combination is also used by a bank or cash book. The combination of accounts based on this line is used by the bank or cash book Cash (CASH).

This has been a very common error message with the transition from the synchronization of everything to a journal entry.

Within Booking Experts, we use interim accounts to process the payments. These numbers are often created as cash or bank in Twinfield.

To solve this problem, a new account needs to be created in Twinfield for the various interim accounts. The number chosen here can be used in Booking Experts.

After this, the synchronization can be carried out again.

Check synchronization

Follow the steps below in Twinfield:

1. Navigate to  Financial professionals;
2. Select  Bookings;
3. Click  Concept bookings;

Select one of them; your invoices are now in your Twinfield administration.
