MOOV: installation & settings

With the MOOV app, you can manage automatic access for vehicles at your campsite or holiday park, based on data in your Booking Experts reservation system. MOOV Leisure is part of Nedap.

Setting up collaboration

If you want to use this integration, you first need to contact MOOV to conclude a contract for their services and hardware. You can contact them via the MOOV Leisure website: contact page

How to install the app?

Once logged into your Booking Experts PMS, go to the App Store in the light green menu bar. To do this, click on the market stall icon. Type 'MOOV'  in the search bar and click on the appropriate result. You are now on the app's detail page. Click the green '+Install' button to install the app.

In the next screen, you can see exactly what information is read and sent by MOOV. At the bottom of this page, you will link your administrations. Check the 'Access' box for each administration for which you want to apply MOOV. Then click 'Install' to authorise the app and complete the installation.

You can now return to the MOOV app page to complete the settings.

Complete the settings

To set up and configure the app, you must first add your MOOV account details, and then add one or more MOOV products. These products generate so-called exemptions. An exemption determines the automatic access parameters for each reservation, including dates, times, and license plates.

Add MOOV account details

In the 'Commands' section, click 'Settings'. Here, you enter your account details for each administration. You can request this information from MOOV. If everything is filled in correctly, save the settings by clicking the green button.

In this section, you need to enter a URL. If you receive a URL from MOOV that ends in /main.html, you must replace this part with /rest.

For example:

https://demobookingexperts.nedapparkeren.net/main.html becomes:

https://demobookingexperts.nedapparkeren.net/rest

Add Products

In the 'Commands' section, click 'Products'. In this overview, add a new product via the '+Product' button. You can define the product by filling in all its settings.

  • The general settings are the open field for the name, and the administration for which the product is valid.
  • The MOOV settings determine the identification method, and which template belongs to this product. This is a MOOV template regarding access gates and is not related to the application message templates in your PMS.
  • Custom fields are optional and must be set by MOOV in advance to be available here. Examples include: specifying a maximum number of vehicles that can enter at the same time for a single reservation, regardless of the number of license plates registered on that reservation. Or, specifying a maximum number of QR tickets, which can be applied at access gates for facilities such as a swimming pool where there is a maximum capacity.
  • Filters determine to which reservations this product applies. This way you can create different products for different needs. You can filter by object labels, type, costs, and booked extras.
  • The other settings are about when access is granted.

    If you check 'Wait for check-in', the exemption, and therefore the access, is valid immediately upon check-in. If you leave this box unchecked, the guest will have access from the specified start time.

    If you check 'Automatic check-in', the reservation in Booking Experts is automatically checked in when MOOV registers that the license plate associated with this reservation is at the barrier.

    Optionally, you can also specify a fixed start and end time. If you leave these fields empty, the start and end times are filled by the default check-in and check-out times as set in your PMS.

Add the product by clicking the green button, and repeat these steps to add more products.

View exemptions

In the 'Commands' section, click 'Exemptions'. Here you will see a list of exemptions that have been generated by the products you have set up, based on the reservations in your system. The status 'concept' indicates that the access is planned for the future or has already expired. The exemptions with the status 'active' are currently valid. Click the ID number of an exemption to view its details.

Other actions

Manually add exemptions

There are several ways to manually add an extra exemption. You can do this to give a guest additional access outside of the automatically generated exemption, or to give an owner or employee access without needing a reservation to generate an exemption.

Using a MOOV product to give owners access is not possible. Owners must be given a MOOV exemption manually.

1. Without pre-filled information: From the app page, go to the overview of exemptions. At the top right, you can click the blue button to add an exemption manually.

2. To provide a guest with extra access: Go to the detail page of the relevant reservation. In the 'Reservation' block, click the 'Apps' drop-down menu and select 'MOOV: Exemptions'. At the top right, click the blue button to add an exemption for this guest. Their information will be pre-filled.

3. To provide an owner with access: Go to the owner card of the owner in question. Click the 'Apps' drop-down menu at the top right and select 'MOOV: Exemptions'. At the top right, click the blue button to add an exemption for this owner. Their information will be pre-filled.

If you want to scan additional access cards with a barcode scanner, first place the cursor in the 'Value' field.

Depending on which of the above three methods you choose, certain information is pre-filled. You can edit various identification methods, add a message template, and determine the validity. Click 'Create exemption' to save the extra exemption.

Edit exemptions

Edit existing exemptions by clicking the ID number of the exemption and then clicking 'Edit'.

Set up the application message template

After successfully installing the MOOV app, a MOOV message template will appear in the tab application message templates (Administration Settings > Templates). You can use this to inform your guests about their access. The message itself does need to be adjusted and personalised, using email variables. If necessary, use the tag {{ code }} to communicate the correct code.
