Automatic periodic tasks
With automatic tasks you can automate various processes concerning Rentals, after creating automatic periodic tasks the system will create tasks based on the settings.
Automatic periodic tasks can be created for Rentals, Facilities and periodic Costs.
Periodic tasks for Rentals
Example 1: Legionella control
Flushing the pipes or refreshing an object if it has not been occupied for more than x number of days. This is linked to the object and has no further relation to a Reservation. You can create this task for one or several Rentals at a time.
For this task, you can choose a fixed frequency, for example every 14 days, or that the task has to be executed when the object is unoccupied for x number of days. You can also check the task must block check-in option.
Example 2: Garden maintenance
Every now and then you need to mow the grass to keep your Rentals tidy. To do this, you can create a periodic task for Rentals. You can create it for one or several Rentals at a time.
You can enter this task with a fixed frequency.
Example 3: Major cleaning and annual check-up
Do you clean your Rentals thoroughly once in a while? Then create a periodic task for this.
Would you like to check the major cleaning? Then tick the task must be checked box.
Periodic tasks for facilities
Examples of facilities are: the swimming pool, a toilet block, a shower block, waste containers, etc.
Example 1: A toilet building
A toilet building can have several tasks. Think of cleaning, clogging, refilling resources and repairs. You can create a task for each action. This way, you always keep an overview of which task has or has not been done. You can then also easily see who has performed this task.
Don't forget to link a task to the executor or external party. This way, he will know exactly which tasks to perform and when.
Example 2: Checking PH value
The warm weather is coming again. That means your Guests will be enjoying the pool. So it is essential that the Ph value is going to be checked regularly.
It is not yet possible to assign a time to tasks. To solve this, create several tasks with a prefix: 08:00-PH, 10:00-PH, etc.
To create periodic tasks for Facilities, you first need to create Facilities. You can read more about this here.
Periodic tasks for standard periodic cost items
Standard periodic costs are recurring costs that you invoice to the owner. Examples include painting, garden maintenance and major cleaning.
Example 1: painting
Does your organisation take over painting work from the owner against payment? Plan the painting work in good time so that the accommodation looks tidy. To do this, create a periodic task for standard periodic Costs. This means the task will only return for those properties with Agreements that have been paid for by the owner. For all other objects, you can create a task for checking.
Under applicability, select a periodic cost item and then tick the cost item for which you want to create a periodic task.
