Forward form responses via Zapier to external systems
To forward the response of a completed form to an external CRM system, Zapier can be used.
Setup in BEX CMS:
To use this link, an action must be added to the forms in BEX CMS. To do this, open the form in the CMS. Navigate to the 'Actions' tab and click on Add Action in the upper right corner and then choose 'Send to Zapier'.
Once you have completed this step, you can enter the 'Action'. This is where you enter the name of the action. For example, think Zapier - External Party Name. You also see that an Endpoint is needed. Below you can read how to create an Endpoint in Zapier.
Setup in Zapier:
- Create an account at https://www.zapier.com;
- Link the party you want to send the forms response to.
- Click 'My apps' in the menu on the left and then '+ Add connection'

- In the overview on the left, click on 'Zaps';
- Then click on '+ Create' > 'New Zap';
- Then choose 'Webhooks by Zapier'.
- So you can select an Event: 'Catch Hook';
- You go through these steps and then you get the url of the Webhook, paste it into the form at 'Endpoint';
- Then in the CMS you can click on 'Test Action' at the top right and see how the data is forwarded.
- The data is now being shot through.
Setup up form 'Actions'
After you have successfully linked Zapier to BEX CMS, it is important that you set up the 'Actions'. Here you link the values of the completed form to the values within the external program. So, for example, you make sure that the field 'First name' from the CMS is also displayed as 'First name' in the external tool.
💡Tip: After linking, fill in the forms with test values so that when creating 'Actions' you can easily find the correct values.
To set an 'Action' take the following steps:
- Select the desired tool to pair with;
- Choose the 'Event' which should take place, for example, lead creation;
- Next, link your account;
- Link the fields from the CMS with those from the tool, this may look like this:
🧠 Value and Human Value:
To explain the difference between the two values, the following example is used:
Question in the form (with 'Dropdown > Park' field):
Which park are you interested in?
- Park A
- Park B
- Park C
With 'Value', the answers are shot through as the ID of the park in the CMS. So 'Park A' can be marked as 217 and 'Park B' as 352, etc.
For 'Human Value,' the answers are shot through as text. So 'Park A' is also displayed as 'Park A' in the linked tool.
Actually, it is recommended to always use 'Value' and in some cases, like the example, deviate from this and use 'Human Value'.
- When the fields are successfully linked, you can test the action. This is to verify that the values entered match and achieve the desired result.
