Access and permissions for employees
There are two ways to grant permissions to an employee. You can grant a (new) employee access at administrator level and at organisation level.
Create employee at administrator level
Do you want to give an employee access to one administration only? Then add the employee via Access and Permissions in the Administration settings. To do so, click on +New employee. Then enter the employee's e-mail address. To determine which permissions you want to give the employee, you can point to the different permissions to read through what exactly a permission means. Once the employee has been added, the employee will receive an e-mail to create a password.
Please note! You can only access this module if you are administration manager.
Note: If you have several parks and you want to give an employee access to several administrations, the organisation manager at organisation level can do this by setting permissions for him/her per administration. If the employee logs in, the employee can choose between the administrations he/she has access to.
Create a new employee at organisational level
Do you want an employee to have access to all administrations within your organisation?
Then go to Employees in the organisation settings.
To add a new employee, click +New employee.
Enter the e-mail address of the employee. Then you have the choice of ticking the permissions in the organisation permissions or in the Administration permissions. If an employee has access to all administrations within the organisation, tick the appropriate permission in the organisation permissions.
Does an employee only have access to a few administrations within the organisation? Then only tick the permissions for the administrations to which this applies via the Administration permissions.
This way, you don't have to check all administrations one by one for this employee, but you can adjust this for all underlying administrations in this overview.

Permissions
For each employee you can determine which permissions can be granted.
Access
The permission access is on by default for every employee. This permission allows you to perform reception tasks such as making reservations and invoices.
Support
Enables you to offer support to guests via your website. Read more about this here.
Reception extended
Allows you to perform advanced reception tasks. Allows you to create reservations in the past and view Reviews. This right also allows you to export guest data, reservation data, Meter readings and Blocked periods.
Setup
Allows you to change certain settings of an Administration, such as Types, Prices, Costs, Packages and Actions.
Setup Extended
Gives you the possibility to change certain settings of an administration, such as Types, Prices, Costs, Packages and Actions. In addition, you have the right to adjust the priority of Rentals.
Owners
Allows you to manage and modify everything concerning owners, such as creating periodic invoices and rental invoices. This right allows you to export owners and standard periodic costs.
Financial
Lets you perform financial operations in an Administration, such as adjusting certain amounts. This right also allows you to view Invoice items, Payments, Channel settlements and Bank transactions.
Financial extended
Provides the ability to adjust past financial facts in an Administration. Viewing vouchers is also covered by this permission. This permission requires the Financial permission for the same Administration. This right allows you to view the Trial balance, Profit and loss account, Ledger accounts, VAT rates and Vouchers. This right also allows you to export this data.
Statistics
Allows you to view statistics and financial overviews of an Administration. The linking function is also available.
Manager
Enables you to manage the employees of an administration, including their permissions. However, it is not possible to override granted permissions at organisation level. This permission requires all other permissions except the support permission. If you have this right, you also have equal rights below and can perform all actions in the Administration.
Deny or remove access
If an employee leaves service or you want to deny access, go to Access and Permissions. Click on the employee in question. Then click on Deny access.
Note: If an employee has a login on more than one park, the organisation manager can deny this employee access at organisation level. This means the employee will no longer have access to all administrations where he/she was previously able to log in.
To remove an employee, go to Employees at organisation level. Click on the relevant employee and then click delete.
Take over role
It is possible to take over the role of an employee to see what an employee with certain permissions can or cannot do within Booking Experts. To do this, go to Access and Permissions at administrator level or Employees at organisation level. Then click on the employee's name and click the Accept Role button.
Accept (new) roles
When a user is assigned a new role, think of a new Administration within the organisation, the user will be able to accept or reject a new role at the bottom of the roles page. You can find the roles page here.
