View and edit group bookings

Reservation overview

In the Reservation overview, you can see what group bookings are. To do so, click Reservations in the green menu bar. There you will see a square with a letter behind group bookings. Letter A stands for the main booking and then each underlying booking gets the next letter.

What does a group booking look like?

In the reservations screen, you can see that there are several bookings. Each booking is marked with a letter. You can click on a booking to then view and complete the underlying information. Think of entering the guest list and license plates.

The booker will receive the usual e-mails from Booking Experts, such as the booking confirmation, the request to fill in the guest list and license plates and the e-mails with payment reminders.

If you enter the same email address in the booker details for each underlying booking, the booker will receive the same emails from each underlying booking. It is not possible to send the e-mails only to the main booker because it is necessary to enter any license plates and guest lists for each underlying booking.

Enter booker data, guest list and license plate(s)

In each underlying booking, you can enter the booker data, guest list and license plate(s). To do so, click on the desired underlying booking. On the left-hand side of the booking, you can enter the booking data. On the right-hand side, under the heading Reservation, you can click on the head to enter the guest list. Click on the car icon to enter the license plate number.

Reservation confirmation

After making a group booking, the reservation confirmation is sent to the main booker only. He also sees information about all the underlying reservations in the Reservation Confirmation: namely, the check-in and check-out date, the type and (if booked with preference) the object booked and the number of people.

This information is loaded using the tag: {{ locals.reservation_summary }}. This is in your booking confirmation by default. Would you also like to show this information in other Templates or Auto emails? Then you can edit that email and add the tag.

If you make a change to Templates, update this for all languages!

Invoice

Is a group booking made? Then the guest invoice will also look slightly different from what you're used to. On the first page, we show a summary of the booking, i.e. the total amount. This also shows the QR code to make the payment.

From the second page, we show the breakdown per underlying Reservation. This allows guests to divide/clear the costs with their fellow guests if necessary.

Split booking

It is possible to split a booking from a group booking. You may need this if, for example, the booking on 1 object has to be cancelled or if the guest of this booking still wants his own invoice.

Open the group booking and select the booking you want to split off. Then click on the More button under the Reservation heading and then on Split to separate booking.

A separate reservation is then made of the selected booking. You can now confirm or cancel the split-off booking.
