Personal data are linked to (already imported) customer cards. If no matches are found in the email address, the system will create a new customer using the details entered below.

Step 2 - Upload the file

Following the import, the system will indicate how many rows have been imported, this should match the number of reservations.

It is possible to update previously imported reservations through a new import. In this case, the reservation number needs to match, and the imported reservation cannot be transferred already.

Example:

You have imported reservations without the right guest information. By adding the guest information to the export and importing this again, the right guest will be linked to the reservation.

Importing reservations

1. Navigate to tab  Reservations;
2. Click  Import in the bottom right corner

Step 3 - Checking future reservations and creating invoices if desired

After a successful import of the reservations, the system will show these reservations under the Reservations tab.

These reservations must be checked manually and, where necessary, be converted to a reservation with an invoice.

  • Use the right payment method for this;

Please note! We often advise to create a payment method "paid through previous system". You may then use this method to register all previously processed payments in Booking Experts.

  • Make sure the date of the payment matches the date in the previous system;
  • Click Send invoice;
  • Select an email address this time, so the guest will receive a payment link for the remaining payment(s);
  • The reservation has been processed, continue with the next reservation and follow the steps.

Frequently asked questions

  • Can I delete an imported reservation?
No, you can't delete an imported reservation. In order to do so you need to transfer the reservation after which you can cancel the reservation.
  • Will invoices also be imported from my old system?
No, we don't import the invoice from your old system. When importing the reservations we use multiple financial parts. Because of this the guest also gets a new invoice number which is generated by Booking Experts.
  • Will payments on reservations also be imported?
No, we don't import payments that were made in the old system. For this you need to add the payments to the new invoice yourself and subsequently enter the correct deposit plan for the unpaid amount.
We advise you, when you have added the deposit to a reservation invoice in Booking Expert, to delete the payment and reservation from your old system (delete and credit). This ensures that you don't get a double financial administration.
  • Are additionally booked extras included in the import?
No, only the rent and the additional costs will be included in the import. No distinction is made regarding what is included in these costs and their structure. In order to calculate the mandatory costs, you can create a new test calculation by editing the numbers of persons. Any selected extras can be added to the reservation after that.
  • Do I need to manually check and convert all imported reservations?
Yes, if you want the reservation to be processed in Booking Experts, you'll have to manually convert it and create an invoice. For transfers with a large number of reservations, this can be done in phases that allow you to work one month forward each time.

If you retain access to your old system, you can choose to run it in parallel and process the previously created reservations from there.
