How are reservations processed via Booking.com?

When your guest makes a reservation via Booking.com, they will go through the following steps.

Making the reservation, your guest has an overview of the various costs that are included in the price or will be invoiced.

In addition to the Booking.com confirmation, the guest receives a confirmation from Booking Experts on behalf of your organisation, in which the reservation is once again confirmed and the guest can make any payment.

The Reservation is further recorded like any other reservation, this also means that, for example, car emails are sent to these reservations.

Important! Booking.com provides the guest with an automated e-mail address. This is (often) not known to the guest. You can therefore always ask the guest to pass on their own e-mail address via a auto e-mail.

Price differences

It occasionally happens that you discover a price difference between the price of the reservation you received from Booking.com and the price stated in the reservation in Booking Experts. This may have several causes.

  • Always check first whether you have enabled discounts in your Booking.com Administration. Think of a genius discount or a mobile discount. These discounts are not automatically transferred to Booking Experts. You have to manually add this discount yourself by, for example, clicking on the pencil behind the rent and adding a discount.
  • Price differences also occur because the Costs are not set correctly. Check carefully in the Booking.com app whether you are sending bare rents or all-in prices and whether the Costs are set to included or excluded. When sending bare rents, this should be set to not included and for all-in prices it should be set to included.

Should a guest pay a deposit on arrival and does this not go through Booking.com? Then set this cost item to not be included in the all-in prices. You do this in the Costs on the Billing tab. It is also important to add this cost item to the guest invoice. You can read how to arrange this here.

Push information to Booking.com

It is possible to manually push the current prices and availability to Booking.com, so that the prices and availability are sent directly to Booking.com. To do this, go to the linked type within Booking.com's app and click on the number under ‘External ID’. Then click the button of the desired action.

Retrieve reservations from Booking.com

If you feel that synchronisation from Booking.com is lagging behind, you can manually retrieve the reservations within the Booking.com app. To do this, go to the linked Administration and click on the number under ‘Hotel ID’. Then press ‘Retrieve Reservations’ to manually retrieve the reservations from Booking.com.
