Automatic tasks for reservations at type and guest group level
With automatic tasks you can automate various processes regarding reservations, after creating the automatic tasks, the system will create tasks at type level based on the settings.
Some tasks should apply to every reservation, based on the way you work as an organisation. How these tasks are created depends on how the task is set up, in this there are some variations possible which are given as examples in this article.
Example 1: Final cleaning on departure
As an organisation, you choose to clean the property on the guest's departure. This has a relation to the reservation, as you want to adjust the occupied object in case of any relocation.
Make sure the Should happen setting is set to 'On the day of departure'. Set the immediate application to 'By stay' and then select the types to which the task relates.
A camping pitch will also be among this list, it obviously does not need to be cleaned.
Example 2: One sheet set per person
You have chosen not to make beds anymore, this saves time and allows you to offer the guest a slightly cheaper holiday. But since you don't want to bring 4 unnecessary bed linen packages to an 8-bed property with 4 guests, set an automatic task for this.
Make sure the Should happen setting is set to 'On the day of arrival'. The direct application is set to 'Per person' and then the guest groups to which the task relates are selected. No types are selected in this case.
A reservation with 4 adults and 1 baby, do you bring 4 or 5 sheet packs for this?
Example 3: Breakfast buffet per guest group
The breakfast buffet is included in the stay. For the kitchen, it is good for planning purposes to be able to look ahead in the number of guests they can expect the next day, or next week. Here, you may have to create two different tasks, one for seniors and adults and one for youngsters and children. An additional task will also need to be created for the departure day.
Make sure the Should happen setting is set to 'On days between arrival and departure'. The direct application is set to 'By person' and then the guest groups to which the task relates are selected (seniors and adults separately, for example). No types are selected in this case.
Because the above settings create a task for all days between arrival and departure, it is important to create the same task again where the Must happen setting is set to 'on the day of departure'.
