A discount action always has to be linked a discount campaign. If there is no suitable discount campaign yet, you should create it first.

Example: You create one last minute discount campaign. Below that you hang various discount promotions: if you book one month in advance, you will receive a 10% discount. If you book 2 weeks in advance, you will receive a 20% discount. If you book one week in advance, you will receive a 35% discount. You don't want to show this 3x on the website, but only once: it is all a last minute discount. Booking Experts automatically calculates the correct discount for the guest.

Create discount campaign

1. Go to the  Setup tab;
2. Choose  campaigns in the right submenu;
3.Then choose  New;

4. Enter the discount campaign's name. (  By clicking the flag, you can also enter the discount campaign's name in German and English);
5. To emphasize the action on the website, you can add an image to the discount campaign;
6. Choose  Promote  if you want to promote the discount action using a banner on the website. ( You can only do this once a discount action has been linked to this discount campaign);
7. Choose  Valid for all parks within this organization if this discount campaign is also applicable to other parks. (The discount campaign is automatically created for all parks, you only have to link a discount offer to it. Plus side to this is that the discount campaign only appears once on the website);
8. Choose  Add discount campaign;

9. Now you can start creating a discount action and link this to your campaign.

When an image has been added, the offer will appear in the  action tab.

2. Choose  Campaigns in the right submenu;
3. Click on the name of the desired campaign.

3. Click on the name of the desired campaign;
4. Delte the campaing by clicking on the  delete button.

Discount action - Complex pricelist

1. Go to the Setup tab;
2. Then choose actions in the right submenu;
3. Choose New;
4. Indicate you want to create a discount for the complex price list;

5. Choose which discount you would like to use. This could be a percentage of the rent amount or a fixed amount;
6. Enter the percentage or amount of the discount;
7. If applicable, enter a minimum and/or maximum number of nights that may be booked;
8. If applicable, this discount can be created as an early bird or last minute discount;
9. If the discount is not to be counted as rent, you can disable this check. The discount will not be included in the settlement with the owner. By default, a discount is calculated as rent and will be counted when settling the reservation with the owner;
10. Enter a coupon code if the discount can only be applied by use of this code; If you use the coupon code, you can specify whether this discount can with another promo. For instance, a coupon code for regular customers may be stacked on top of an early bird discount;

11. Indicate the period in which reservations need to be booked and when reservations need to be booked to be eligible for the discount;

12. Then you can indicate to what the offer applies
You can choose:
- all accommodations or only a specific accommodation or a specific accommodation group;

- Whether it may be counted for owners' reservations;
- if this can be booked via your own website and/or back office;
- if this can be booked via all or selected tour operator(s);
A combination of these is also possible;

13. Then click Add action to activate the offer.

Discount action - Simple price list

1. Go to the Setup;
2. Then choose action in the right submenu;
3. Choose New;
4. Indicate that you wish to add a discount action to the simple price list;

5. Indicate the period in which reservations need to be booked and when reservations need to be booked to be eligible for the discount;
6. Select the campaign to which this action needs to be linked;
7. Enter the discount percentage offered on the price of a night;
8. If applicable, you can then indicate whether this is an early bird or last minute discount;
9. Indicate which accommodation type or group this discount is applicable to;
10. Tick the tour operator box to communicate this discount with tour operators that make use of the simple price list;
11. Click Add discount action to create the offer.

Edit discount action

You can edit a discount offer if you, for example, want to change the conditions of an offer. For example:

- edit period group;
- edit discount percentage;
- edit accommodation group;
- edit discount campaign

1. Go to the  Setup tab;
2. Choose  action in the right sub-menu;
3. If you want to edit an active action, you can search for the action using the  filters;
4. Click on the ID number the action you wish to edit.

3. If you want to delete an active action, you can search for the action using the  filters;
4. Click on the ID number at the action you wish to remove;
5. Click on Delete to delete the action.

Discount for age groups

It is possible to grant a discount based on age groups.

For instance, you can use this function to grant specific discounts on a stay of families with pets, with the composition of the group of guests meeting the following criteria:

  • At least one senior or adult;
  • At least one youngster, child or baby;
  • At least one pet.

How to set this up is shown below.


Method of calculation discount

At all times, a maximum of 1 discount action is applied to a reservation, namely the discount action which gives the customer the highest discount. When calculating the discount, we see if discount offers apply to:

- the house type to be reserved;
- via the used source (tour operator or own website);
- when the current date falls within the "Campaign valid from ... until ..." range.

The discount is calculated if the arrival date of the reservation falls within the period of the discount promotion. The reservation that is made must correspond to the minimum number of nights set in the discount promotion. The minimum number of nights must fall in the discount period.

Example:
A campaign applied to periods from February 1 to February 28 with a minimum number of nights of 10, is not applied to a reservation of January 25 to February 7: the reservation in its entirety might be long enough, but the part that falls within the discount offer period is less than the required 10 nights.

A campaign applied to periods from February 1 to February 28 with a maximum number of nights of 7, will be applied to a reservation of February 1 to February 28: however, the discount will only apply to 1 week of the reservation, the rest of the reservation will be charged the full amount.

There are 2 borderline cases that are charged different than you may expect. Both borderline cases occur when the maximum amount of nights is used. This will rarely occur in practice, but it is wise to be aware of this:

- The make-up of a period will not be changed by discount offers, even when a different make-up in relation to a specific discount offer gives the customer a cheaper price.  Example:

A discount has been defined with a minimum and maximum number of nights of 4 and a discount percentage of 90%. The price per week is 100 euros, the price per night is 15 euros. When a week is booked, this discount in its entirety is not applied, even though it would be more favorable for the customer to have 4 nights with discount (is 10 euros), plus 3 separate nights (10 + (3 x 15) = 55 euros).

- We start applying a discount action when we find a date that falls within this period, even if it would be more favorable for the customer to apply the discount at the end.  Example:

A discount has been defined with a maximum number of nights of 7 and a discount percentage of 50%. The price per week for January 1 to 14 is 100 euros, the price per week for January 15 to 31 is 200 euros. When a reservation is made for January 7 to 21, the 50% discount willbe applied to the first week. The total amount will be (50 euros + 200 euros = 250 euros), even though it would be more favorable for the customer to have the discount applied to the second week (100 euros + 100 euros = 200 euros).


Order of the discount campaigns and display on the website

Within the discount campaigns, you can indicate a sorting on park level. This is convenient because it allows you to place discounts that are booked often high in the display, or because you can sort discounts per year this way.
This can be done per accommodation type, but also as a whole.
1. Go to the Layout tab;

2. In the right submenu, select Discount campaigns;

3. No accommodation type is selected by default;

4. Adjust the order;

5. The discount campaigns will be shown this way in the search and book as well.

FAQ - Frequently asked questions

  • Are discounts added up?

Suppose that for a period in which a visitor wants to make a reservation two discounts apply. If this is the case, then we consider which discount action is the most advantageous for the visitor when calculating the discount. This discount action is the one that gets applied. A discount will not be stacked unless you specifically choose to do this by using a coupon code.

  • Promote cannot be applied, why is that?

When creating the discount campaign, do not tick the "Promote" checkbox right away.

You can then save it and add the discount actions as you wish. When you have done so, you can go back to the discount campaign and tick the 'Promote' checkbox.

This message is due to the fact that there is no action under the campaign yet, so it cannot be promoted. When the above steps are completed, it is possible.

  • What does 'When you reserve in the period' mean?

In this period you indicate when the visitor of the website can book the discount action. This is not when the action is valid but when the visitor can see the action. Example: 'When you reserve in the period' January 1, 2018 through March 30, 2018, the discount action can be booked on the website from January 1, 2018 through March 30, 2018.

What does 'You get a discount over a stay in the period' mean?

Here you specify the period when the promotion is valid. Example: 'You get a discount over a stay in the period' April 1, 2018 through June 30, 2018, visitors who book this package on the website will receive a discount if their stay falls between April 1, 2018 and June 30, 2018.

  • Can I create multiple early booking discounts or last minute discounts for the same period, but with different discount percentages and a different number of days in advance, and that the cheapest option is selected?

The system will check which discount action applies to the number of days. Since you can specify a maximum number of days in advance, this will not overlap, as the applicable discount action will be selected.

  • How do I create a 'stay 14 nights and pay 12 nights' promotion for our campsite?

You can create a discount promotion for this with the discount type 'fixed price', where the discount is the price of 2 nights. In addition, you indicate that the discount only applies to a reservation of 14 days.

  • When I click on a discount offer in the search & book, I expect the search & book to open on that particular period. Why doesn't that happen?
The search & book selects the first possible period for which the discount offer applies. It may happen that there are only a few days in the discount offer and you therefore see a period that starts earlier than the full discount offer. 
  • I click on a special offer in the search & book, but the system subsequently calculates a different discount. How is that possible?
You choose that specific discount, but it may happen that another discount is more advantageous. Then the system always calculates the most advantageous price (including discount) for the guest.
