Archiving rental

Archiving a rental is useful when the object is no longer in use, because then the rental can no longer be reached. This article explains when and how you can archive an rental.

You can archive an rental by clicking the 'archive' button within the rental in question. Watch out: this action cannot be reversed.

A rental can only be archived when:

  • There is no active setup for rent;
  • There are no active agreements with owners;
  • There are no future reservations;
  • There are no active tasks in the future.

Rental cannot be archived

In case that it is not possible to archive the rental, the reason why will be displayed by Booking Experts. By clicking on the blue link, you can immediately act on this.

Rental cannot be archived because of an active setup

It is not possible to archive a rental with an active setup. Therefore, you need to make sure that the setup of the rental is no longer 'for rent'. How to retrieve an object out of rent, can be found in this support article.

Rental cannot be archived because of an active owner agreement

It is not possible to archive a rental with an active owner agreement. Therefore, you need to make sure that the agreements made with the owner are no longer active. This can be done by deleting the owner from the rental, in the 'owner' tab within the specific rental.

In this case, it is best to use the button '+New agreement'. Here, you can delete the owner by clicking on the cross at the end of the selection bar. Because you are creating a new agreement, you can still view the old agreement at any time.

Rental cannot be archived because of a future reservation

It is not possible to archive a rental with an active future reservation. In this case, it is best to move the 'out of rent' date to the check-out date of this reservation. This way, the reservations won't have to be replaced or cancelled.

When moving the 'out of rent' date, you can block the rental for further reservations via the frontoffice and channels. This way, the intermediate periods cannot be booked. In this support article you can read how to block a rental for future reservations via frontoffice and channels.

Rental cannot be archived because of unfinished tasks

A rental cannot be archived when there are unfinished tasks, so you need to make sure that all tasks are completed. The easiest way to do this is by clicking on the displayed tasks in the notification and open them one by one in new tabs (Windows: cntrl + click, Apple: cmd + click). Then you easily complete all the active tasks after each other.

Reversing the rental archiving

It is not possible to reverse the archiving of a rental. Archiving means that the history of the rental will be kept for the statistics, but the rental itself won't be saved. Therefore, the action of archiving a rental cannot be reversed.
