Making a new reservation

There are multiple ways to enter a new reservation, and thus support your guests in booking a stay.

Via the '+Reservation' button

The '+Reservation' button is visible anywhere in the PMS, in the green bar at the top. This means you can always quickly create a new reservation, for example during a phone call with a guest.

Price indication and selecting an object

The first step is to find and select an available object. Use the filters to find an object that suits your guest. Each option will show a price indication as well.

If your guest already knows the exact dates they want to book their stay, select those dates in the 'Period' filter, and choose 'Whole period' in the 'Length of stay' filter.

If your guest wants to select exact dates based on availability or price, but does want to book a long weekend in either August or September, you can set the 'Period' filter for 1 August to 30 September, while choosing 'Long weekend' in the 'Length of stay' filter. The available dates and objects are shown in the search results.

Click the 'View' button behind one of the search results to open the overview. Here, you'll see a cost specification, based on the chosen object, dates, and guest group. Change the filters to update availability and price indications.

At the bottom of the overview, click 'Continue' to enter the reservation form.

The 'Channel' filter can be used to create insight into any price differences for your guest. You can compare a direct booking (Backoffice) to any external channels.

Entering guest details

You are now in the reservation form, where you enter the booker's details. If the booker has made a reservation before, the contact details can be quickly found by searching in one of the fields with a magnifying glass. Based on this, you will get suggestions that you can click to quickly fill in the contact details. On the right side you'll still see the overview, so changing objects or adjusting the guest group and/or dates is possible. The total prices and cost items will change accordingly.

If everything has been entered correctly, click 'Confirm' at the bottom of the overview. You will now enter the detail page of the reservation made. Here, it is also still possible to change details or add extras to the order. When everything is final, click the 'Confirm and send invoice' button to send the invoice for this reservation to the guest.

Via the Planboard

It is possible to filter for available objects to place a new reservation directly in the Planboard. Read more about how in Making a new reservation via Planboard.

Via the object page

If there is a strong preference for a specific object, you can create a reservation via the object page. Find the object in the 'Setup' module or by using the search bar. Click the name of the correct object, and you'll find the calendar in the 'Availability' tab, where existing reservations and blocked periods of this object are shown. This will quickly show you when this object is still available.

To add a new reservation, you can either click on '+New reservation' next to the object's name or you can click the desired date and then 'New reservation'. You'll enter the reservation form. At 'Stay period' you can edit the arrival and departure dates. Then, you enter the guest details as described above.

Via the website

You can use the Search & Book on your own website to create a reservation on behalf of your guest. Simply follow the steps, and enter your guest's information.

In the Booking portal on your Dashboard, you can see which reservations are currently being made through the website. If a guest gets stuck, and contacts you in another way, you can assist by taking over this reservation.

On behalf of owner

It is possible to make a reservation on behalf of an owner, for their own object.

Note: you can only do this if an owner is β€˜Active’.

First, look up the owner via the search bar or the 'Owners' module. Then click the 'Reserve in backoffice' button for the property you wish to make a reservation for. In the next window, you enter the desired data and guest group, and see the associated costs. Click 'Create reservation' when you're done. The reservation is made under the β€˜Owners’ channel label.
